P1: Explain the role and skills required to be an effective event organiser. ● Define what an event’s organiser (EO) is

● What tasks are undertaken by an EO (Organising, venue, location, music, catering, facilities, producing documents

● What skills would you need to be an event’s organiser (e.g. organisational, problem solving, time mgmt., negotiation, communication, interpersonal)

●Explain a successful EO: what makes them successful?

● Explain 3 possible event ideas

● Explain which event you have decided on, and why

● Collate and explain a list of what you might have at your event

● Decide, and explain, which facilities you will have at your event with costings and reasons why

●Collate the following documents for your event:

-Background, purpose, target market, cost of putting on the event, cost of tickets, any permissions/ authorisations required

-Agenda/ schedule of the day’s activities (with explanation)

-Event papers (Meeting minutes, job roles, info about any organisations involved in the event).

-Communication plan: How will you publicise and promote the event? (Give detail!)

-Additional/ special needs arrangements (put a plan in outlining how you accommodated SN)

● Explain the Health and safety requirements you will need to adhere to

● Explain age restrictions/ licensing if relevant

● Will you adhere to legislation (if so, which?)

● What market research will you use? Why?

● Formulate a questionnaire to give to potential customers

● Explain consumer protection laws you will have to abide by (What are they/ are they relevant to you) e.g. ● Consumer credit act ● data protection act

P2: Investigate own skills in the form of a skills audit. ● Complete a skills audit honestly, giving feedback (you can use a scale for this)

● Undertake a SWOT analysis based on your input in the event (teamwork, negotiation, problem solving, communication, time management)

M1 Analyse own skills against those required by an event organiser, highlighting areas for development. ● List, and explain, skills of a planner, then compare these skills to your skills

● What do you need to improve?

● How, specifically, are you going to do this (specific names training course/ universities etc.)

D1 Fully justify how own skills match those of an event organiser. ● Now look at the skills you DO have in common with an event’s organiser. Justify in detail how your skills match those of an EO giving examples.

●Give specific examples as to when you have shown these skills/ attributes

P3 Investigate the staging of several events to determine common success factors. ● Investigate 3 separate events and explain the success factors for each of them (e.g. the World Cup, conference, seminar, product launch, awards evening, sports, entertainment, the Olympics, country fairs, dog shows, fun runs etc.)

●What difficulties were faced along the way for the 3 events?

● Analyse (using charts) market research feedback

●What did the market research show you (explain in detail)

 

P4 Explain the chosen event idea, including reasons for choice ● Mind map event ideas ● Explain precisely what event you will be running

● Why did you choose this as your final choice?

● What is the purpose of the event?

●What are the success factors for the event?

●What possible constraints do you think there will be (budget, venue, HR, physical resources)

●Show aims and objectives for your chosen event

 

 

M2 Assess the feasibility of the event proposal. ● What do you believe will happen with the event? Will it be popular? Make a profit? Why do you say this (how can you back up these claims?)

●What is the contingency plan if something goes wrong/ someone is away/ it rains etc. (you must explain the plan ‘B’)

●Be honest and fully explain the possible positives and negatives

 

D2 Evaluate and justify the feasibility of the plan, tools, budget and risk, making any required contingency adjustments. ●Go into further detail regarding M2:

●Explain the budget/ costings in detail and justify them

●Why use supplier A instead of B?

●Why use the staff you plan to use

●Go into further detail regarding your contingency plan with specific actions you will undertake and reasons why you will do it that way, and not an alternative way.

P5 Explain factors that need to be considered when producing a detailed plan for the proposed event. ●Put in critical path analysis and explain

● Use a Gantt chart and explain

●Finance: explain what expense and costs will you have?

●Explain detailed resources required (Wi-Fi, chairs, tables, whiteboard, cash box etc.)

P6 Produce a detailed plan for your chosen event using planning tools, detailed budget and consideration of risk assessment and contingency planning. ●Cost the entire event showing exact costs and total budget as well as suppliers details

● Explain where you will get the funding from including interest/ repayments (if applicable)

● How many staff will be required and what skills will they need?

● Write a Risk assessment (put in and explain)

● Explain, in detail, your contingency plan in case of staff absence/ bad weather etc. (What is your plan B for certain specific situations)

●Which planning tools will you use (show Gantt charts/ critical path analysis (links to P5)

●What problems can you anticipate? (non-delivery of resources/ customer service and health and safety issues)

M3 Analyse the key factors that need to be considered when producing a plan for an event. ● Look at issues like staffing, weather, cost, availability of supplies required.

● Go into detail as to the key factors that will affect the successful outcome of this event.

●What are the percentage chances of certain issues arising (link to risk assessment showing High, medium and low risk)

P7 Stage an event, demonstrating some relevant management skills. ● Explain, in minute detail (maybe through a timeline) what happened during the event.

● What management skills did you show (be specific and give examples)

●What problems did you encounter and how did you overcome them?

M4 Demonstrate effective and safe management skills when organising and staging an event. ●What safety procedures were in place pre/ during the event (signage, crash barriers, hi viz etc.)

●How did you adhere in steps/detail to the legislation as explained in P1.

●What safety issues were encountered (overcrowding, a spillage etc.) and how did you overcome them?

P8 Review the success of the event in meeting aims and objectives, achieving targets and receiving good feedback from stakeholders ●Address each aim/ objective and explain if they were achieved (with evidence).

●What was the feedback from stakeholders? How do you know? (maybe produce a feedback sheet for customers and team members to complete and summarise findings)

●What feedback were you given verbally?

M5 Analyse the planning and running of the event, how risks and contingencies were managed, making recommendations for future improvements. ●Produce an honest write up for each team member and explain what they did well/ not so well

●Explain the risks and how they could have been avoided

●Explain issues and step by step how these were overcome/ rectified

●Give recommendations for the future if you were to run a similar event again.

D3 Justify how own contribution has contributed to a successful outcome of the event by the demonstration of outstanding management skills throughout the arranging and staging of an event. ●How would the event have gone in your absence?

● Explain every task you undertook during the event in detail and rate yourself (maybe on a scale of 1-10) as to how successful you were at achieving that task

●What would you change if you could go back?

● What tasks did you excel at (explain what you did, in detail and how you did it)

●What tasks did you fail at? How would you rectify this if you were to do it again?

●What were you best at: planning or staging the event? Explain and analyse.

●Summarise the assignment and state which business skills you have learnt
